Privacy Policy

1. Who we are

wabill is a product of K2026012823 (Pty) Ltd, a South African registered company. We help businesses create and send invoices, quotes, and payslips through WhatsApp and a web dashboard.

We are registered with the South African Information Regulator (Registration Number: 2026-003520). For any privacy question, email privacy@wabill.co.za.

2. What we collect

• Account details: your WhatsApp number, profile name, and email address if you link one.
• Business details: your business name, registration and tax reference numbers, contact details, logo, and any bank details you add to your documents.
• Document data: the invoices, quotes, and payslips you create, and the details of the people you send them to.
• Usage data: how you use the service, and anonymous website analytics.

3. Payments

Payments are handled by a third-party payment provider. Card and banking details are entered on their secure page and are never stored on wabill's systems.

4. Why we collect it

We use your information to provide the service you signed up for, to manage your account, to send service messages and occasional product updates, and to improve wabill using anonymous, aggregated data. Under POPIA, wabill acts as an Operator: you are the Responsible Party for the personal information of your customers and employees, and we process it only on your behalf and for the purposes you provided it.

5. Who we share it with

We do not sell, rent, or share your personal information for marketing. We only share data with the providers we need to run the service:

• Our payment provider, to process payments.
• WhatsApp, to deliver your documents and messages.
• Our hosting and infrastructure providers, to run the service and store your data securely.
• Analytics, to understand anonymous website usage.

We may also disclose information where required by law.

6. How long we keep it

We keep your data while your account is active and for a reasonable period afterwards to handle disputes, audits, and legal requirements. Want your data deleted? Email privacy@wabill.co.za and we will process the request within 30 days.

7. Your rights under POPIA

You can access the information we hold about you, ask us to correct or delete it, object to how we process it, and lodge a complaint with the Information Regulator of South Africa. To exercise any of these, email privacy@wabill.co.za.

8. Security

We use industry-standard measures to protect your data, including encryption in transit and at rest and access controls. No system is completely secure, but we review and improve our security on an ongoing basis. If a breach affects your personal information, we will notify you and the Information Regulator as required by POPIA.

9. Cookies and analytics

We use functional cookies to keep you signed in, and anonymous analytics to understand how the site is used. You can block analytics cookies in your browser settings.

10. Changes

We may update this policy. If something significant changes, we will let you know. The latest version is always at wabill.co.za/privacy.
