What a professional invoice must include
A professional invoice is more than a price in a chat message. To be taken seriously and, if you are VAT-registered, to comply with SARS, it should include:
- Your business name, address, and contact details
- Your client's name and details
- A unique, sequential invoice number
- The date and payment terms
- A clear description of each item or service
- Quantities, unit prices, and line totals
- Subtotal, VAT (if applicable), and total
- Your banking details for payment
The generator above captures all of these. If you are VAT-registered, switch on VAT and add your VAT number to produce a valid tax invoice. You type the invoice number yourself, so keep a simple list of the numbers you have used and always pick the next one.

How to create and send your invoice
- Fill in your business name, address, and contact details, and upload your logo if you have one
- Add your banking details so the client knows where to pay
- Enter your client's name, the invoice number, the date, and the due date
- Add a line for each item or service with its quantity and unit price
- Tick 'Add VAT' if you are VAT-registered and enter your VAT number
- Check the live preview, then click Download PDF and choose 'Save as PDF'
- Send the PDF to your client on WhatsApp or email, or print it
On WhatsApp, attach the invoice as a Document so it arrives as a proper PDF your client can open, forward to their accounts person, or print. A screenshot is compressed and is harder to read.
Keep a copy of every invoice
The generator does not store anything, so the PDF you download is your record. Save each invoice in a folder on your phone, computer, or cloud drive, named by invoice number, and note which ones have been paid. Good records make it easy to follow up on late payers and to complete your tax return. Once a client pays, you can issue a receipt, and if you need to correct an invoice you have already sent, use a credit note instead of editing the original.

Is this invoice generator free?

Can I add VAT to the invoice?
Yes. Tick 'Add VAT (tax invoice)' and set your rate (15% in South Africa). The invoice then shows subtotal, VAT, and total, and adds a space for your VAT number, which makes it a valid tax invoice under Section 20 of the VAT Act.
Are the invoices watermarked or branded?
No. The PDF carries your logo and business details only. There is no wabill branding or watermark anywhere on the document.
Which currencies are supported?
ZAR, USD, NGN, KES, GHS, BWP, GBP, and EUR. Pick the currency in the details section and the whole invoice reformats.
How do I send the invoice to my client on WhatsApp?
Click Download PDF, choose 'Save as PDF' in the print dialog, and save the file. Then open your client's chat in WhatsApp, tap the attach icon, choose Document, and pick the saved PDF. Sending it as a document keeps it sharp and printable, where a screenshot gets compressed.
Is my invoice saved anywhere?
No. Nothing is uploaded and nothing is stored. The details you type exist only in your browser tab and are cleared when you refresh or close the page, so download the PDF and keep a copy for your records before you leave.
