KRA, VAT, and eTIMS in Kenya
The Kenya Revenue Authority (KRA) administers VAT at a standard rate of 16%. VAT registration is compulsory when annual taxable turnover exceeds KES 5 million. The generator defaults to 15% when you switch VAT on, so change the rate to 16% and it will show the VAT as a separate line on the invoice. Rates and thresholds can change, so confirm the current figures with KRA.
KRA PIN on invoices: If you want your KRA Personal Identification Number (PIN) on the invoice, type it under your address in the address field, so it prints in the business details section alongside your company name. When VAT is switched on, a separate VAT number field also appears.
eTIMS mandate: KRA requires businesses to use eTIMS (electronic Tax Invoice Management System) to generate invoices and transmit them to KRA. A PDF from this generator is a simple, professional commercial invoice. It is not an eTIMS invoice and is not transmitted to KRA. If you need eTIMS-compliant invoices, use a KRA-approved eTIMS solution or consult a tax professional.
M-Pesa on your invoices: Safaricom M-Pesa is the dominant payment method in Kenya. Type your M-Pesa till number or Paybill details into the payment details field and they print on the invoice, so clients see exactly how to pay without needing to ask. This is text on the PDF only: the generator does not connect to M-Pesa or collect payments.
