WhatsApp Invoicing for South Africa and Africa

You finish a geyser repair at 4pm. The client asks how much. You open WhatsApp and type your banking details into a message. R1,200 for the repair, R350 for the call-out. The client reads it between a meme and a group chat notification. Three days later, you are still waiting.

You did the work. You are good at what you do. But a banking details message does not say "professional business." It says "pay me when you get a chance." Clients negotiate. They delay. They forget.

Everyone who works with their hands deserves the same tools as someone sitting behind a desk. A proper invoice should not require a laptop, a monthly accounting subscription, or an hour of formatting in a spreadsheet.

How it actually works

You open the free invoice generator on your phone. You type "Mrs Dlamini" as the client, then two lines: geyser repair R1,200 and call-out fee R350. The preview updates as you type: your logo, the breakdown, your banking details, the total of R1,550. You save the PDF and attach it in her WhatsApp chat as a Document. Before you have packed your tools, Mrs Dlamini has a professional invoice on her phone.

Same work. Same price. Different respect.

1

Fill in the job.

Your business details, the client's name, an invoice number, the date and due date, then one line per charge with a description, quantity and price. The generator does the totals.

2

Check the preview and download.

The live preview shows exactly what the client will get. Want to change something? Edit the field and the preview follows. Click Download PDF and choose Save as PDF in the print dialog.

3

Send it to your client on WhatsApp.

Open the chat, tap the attach icon, choose Document and pick the PDF. Sending it as a Document, not a photo, means WhatsApp does not compress it, so the account number stays readable and the client can print it.

Fill it in, download the PDF, send it on WhatsApp. No signup, no watermark.

What is on the invoice

Your logo

Optional upload. It appears at the top of the invoice next to your business name, contact details and address.

Invoice number and dates

You choose the number, for example INV-0001, INV-0002. Keep them in sequence. Invoice date and due date are both shown.

Banking details

Bank name, account number, branch code, account type. A free text field, printed on the invoice for EFT payments.

Mobile money

Type your M-Pesa, MTN MoMo, Airtel Money, EcoCash or Orange Money number in the same payment details field.

VAT

Toggle on, set any rate (15% by default), add your VAT number. The tax invoice version shows "TAX INVOICE" at the top.

8 currencies

Pick ZAR, USD, NGN, KES, GHS, BWP, GBP or EUR from the currency picker. Works in any country with a browser.

After you send

The generator makes the document. What happens next is up to you, and a few habits make it easier.

Partial payments. Client pays R500 against a R1,000 invoice. Note it down against the invoice number. When the balance comes in, send a receipt so both of you have proof.

Reminders. If the due date passes, reply to the invoice in the same chat so the PDF is quoted above your message. Keep it short: the invoice number, the amount and the date it was due.

Statements. For a client with several open invoices, a statement of account lists every invoice and payment with a running balance. Send it as a PDF on WhatsApp the same way.

Your own copies. Nothing is stored for you. Save every PDF with the invoice number in the file name, in one folder per year. SARS generally expects businesses to keep records for five years.

Getting started takes seconds

There is nothing to set up. Open the generator, type your business name, and start on the first line item. No account to create, no tutorial to watch, no documentation to read.

The trade-off is that nothing is remembered. Refreshing the page clears the form, so download the PDF before you close the tab. If you invoice the same clients often, keep your banking details and regular line items in a note on your phone to paste in.

The cost of doing nothing

Without a professional invoice, clients negotiate your price. They pay late. They forget. You chase. You spend time that should be earning you money. And you look like someone who does not take their own business seriously.

Who this is for

A plumber between jobs who needs to invoice before driving to the next one.

A freelance designer working from her phone, tired of looking unprofessional.

A builder managing three projects who needs a clean invoice for each one.

Someone who has never sent an invoice and does not know where to start.

FAQ

Is a WhatsApp invoice professional enough for my clients?

Your clients do not receive a typed WhatsApp message. They receive a PDF with your logo, business name, a breakdown of the work, VAT calculations if you are registered, banking details, and an invoice number. WhatsApp is only how it is delivered. The document itself is an ordinary, professional invoice that can be printed or forwarded to a bookkeeper.

What if my client does not have WhatsApp?

The invoice is a normal PDF file saved on your device, so you can send it any way you like: attach it to an email, share it through another messaging app, or print it. Nothing about the document ties it to WhatsApp.

Can I add my logo?

Yes. The generator has an optional logo upload that accepts a normal image file such as a JPG or PNG. The logo is placed on the invoice in your browser and is not uploaded anywhere. Because nothing is saved, you add it again the next time you make an invoice.

Does wabill do accounting?

No. wabill is a set of free document generators, not an accounting tool. It does not store your invoices, track who has paid, or produce reports. If you need bank reconciliation, balance sheets or saved customer records, use accounting software and keep your own copies of the PDFs you create here.

Are my invoices saved anywhere?

No. Everything you type stays in your browser and is cleared when you refresh or close the page. There is no account and no history. Download the PDF before you leave the page and keep it in a folder on your phone, computer or cloud drive.

Does it work outside South Africa?

Yes. The generator is a web page, so it works wherever you have a browser. You can invoice in ZAR, USD, NGN, KES, GHS, BWP, GBP or EUR, set any VAT rate, and type M-Pesa, MTN MoMo, EcoCash or other mobile money instructions into the payment details field.

Free to use. No signup. Nothing leaves your browser.
