Send Quotes via WhatsApp

A client calls about a paint job. You are standing on a ladder at another job. You say "I will send you a quote later." Later becomes tomorrow. By then, they have called someone else. The job is gone.

Speed wins work. Not always the cheapest quote. Often the first one. But writing a proper quote used to mean sitting down, opening a laptop, fighting with a Word template, saving as PDF and sending it. By then, the moment has passed.

A voice note with a price is not a quote. A number in a chat message is not a quote. Clients take you seriously when you send a document that looks like a business wrote it.

How quoting works with the free generator

You climb down the ladder and open the quote generator on your phone. Client: Nomsa. Two lines: 3-bedroom interior paint, labour R12,000, and materials R4,500. The preview shows a proper quotation with your logo, itemised pricing, a total of R16,500, a valid-until date and your terms. You save the PDF and send it in her WhatsApp chat as a Document. She has it before you have moved the ladder.

1

Fill in the job.

Your business details, the client's name, a quote number and date, then the work and pricing as line items. Multiple items, quantities, whatever you need.

2

Set the validity and terms, then download.

Pick a valid-until date, switch on VAT if you are registered, and edit the terms. Click Download PDF and choose Save as PDF.

3

Send the quote to your client.

In WhatsApp, tap attach, choose Document and select the PDF. Or email it, or print it. It is an ordinary PDF file on your device.

What is on the quote

Quotation header

Your logo, business details, client details, itemised pricing, and VAT calculations if registered.

Terms and conditions

A notes and terms box, pre-filled with a 30-day validity line you can edit. Add deposits, exclusions and anything else.

Quote number and dates

You set the quote number, for example QUO-0001. The quote date and valid-until date are printed under it.

Currency and VAT

ZAR, USD, NGN, KES, GHS, BWP, GBP or EUR. Optional VAT at an editable rate, 15% by default.

Editing and managing quotes

Corrections before sending. Add a line for tiling at R8,000. Remove the plumbing. Change labour to R6,000. Every change shows in the live preview straight away, so fix anything before you download.

Changes after sending. If the client asks for a different scope, do not edit the old PDF. Make a new quote with a new number or a revision suffix, such as QUO-0014-B, so it is clear which version was accepted.

Keeping track. The generator does not store your quotes, and refreshing the page clears the form. Save each PDF with the quote number and client name in the file name, and keep a simple list of which quotes are pending, accepted or declined.

From quote to invoice. When the client accepts, enter the same items in the free invoice generator and reference the quote number in the notes. If you need payment before starting, a pro forma invoice does that job.

The cost of quoting late

You keep saying "I will send you a quote later." Some clients wait. Most do not. You lose jobs not because you are too expensive, but because you are too slow. The tradesperson who sends a professional quote first usually gets the work.

Who this is for

A tradesperson who gets quote requests between jobs and cannot sit down at a desk to write one.

A freelancer who wants to look professional without spending an hour on a document.

A builder who needs to quote on a kitchen renovation while standing in the kitchen.

Anyone who sends prices in voice notes and wishes they had something more professional.

FAQ

How do I turn a quote into an invoice?

There is no automatic conversion. When your client accepts, open the free invoice generator and enter the same line items and amounts, then mention the quote number in the invoice notes so the two documents are linked. Keep the quote PDF on file so you can copy from it.

What terms are on the quote?

The notes and terms box starts with a default line saying the quote is valid for 30 days and that accepting it confirms the scope and price. You can edit or replace it with your own terms, such as a deposit requirement, exclusions, or a note that material prices may change. There is also a separate valid-until date field.

Is the quote generator really free?

Yes. There is no charge, no signup and no watermark, and no limit on how many quotes you make. The generator runs in your browser and nothing you type is uploaded.

Can I make a quote on my phone and send it on WhatsApp?

Yes. The generator is a web page that works in a phone browser. Fill it in, tap Download PDF and choose Save as PDF, then open WhatsApp, tap attach in the client's chat, choose Document and select the file. You send it yourself from your own WhatsApp.

Free to use. No signup. Nothing leaves your browser.
