Why small businesses look for Sage alternatives

Sage has been a default choice for South African businesses for decades, from Pastel to its cloud accounting products. It is a serious tool, and that is exactly why some small businesses and sole traders find it more than they need:

  • Learning curve. Sage is accounting software, and it expects you to think in accounts and ledgers
  • Cost for what you use. A subscription is hard to justify if you only ever create invoices
  • Setup before the first invoice. Company details, tax settings and accounts come first
  • Accountant-oriented. It is designed for people who do bookkeeping, not for a plumber finishing a job
  • Features you never open: journals, bank feeds and reports are valuable, but only if you use them

The Sage product lineup in South Africa

Sage sells several kinds of product in SA. Names and plans change, so treat this as a general guide and check Sage's site for the current range. Here is how each compares to wabill:

Sage cloud accounting

Online accounting with invoicing, quotes, bank feeds and reports. Good for businesses that need full bookkeeping. wabill covers only the last step, the invoice or quote document itself.

Sage Pastel desktop accounting

Installed accounting software that many SA accountants and bookkeepers know well. If your accountant works in it, you can still hand them PDF invoices to capture.

Sage Payroll

Dedicated payroll software that works out statutory deductions. wabill does not compete here. Its payslip generator only lays out amounts you have already worked out.

When wabill makes sense over Sage

  • You're a sole trader or one-person business
  • You send a small number of invoices a month and can track them in a spreadsheet
  • You need an invoice for a job today and have no software set up
  • Your accountant handles the books and you just need to produce invoices
  • You want a clean PDF without learning an accounting package

Free invoice generator

No account and no watermark. Fill in the form, preview and download a PDF.

When Sage is the right choice

  • You do your own bookkeeping and need financial reports
  • You need bank feed reconciliation
  • You have employees and need payroll that calculates PAYE and UIF
  • Your accountant requires data in Sage
  • You need saved clients, invoice history and a list of who owes you
  • You need multi-user access with audit trails

Invoices, quotes and payslips without Sage

Each wabill generator is a form with a live preview. You click Download PDF, choose Save as PDF in the print dialog, and send the file yourself on WhatsApp or email. Nothing is uploaded or saved, and refreshing the page clears the form.

  • Invoices: business details, optional VAT number, banking details, client, invoice number, dates, line items and notes
  • Quotes: quote number, date, valid-until date, line items and optional VAT
  • Payslips: employer, employee, pay period, earnings lines, deduction lines and net pay

The payslip generator deserves a warning. It does not calculate PAYE or UIF. You enter the amounts, so get them from your accountant, your payroll software or the SARS tables first. If you employ more than one or two people, or you are not sure of the deductions, payroll software such as Sage Payroll is the safer option. For quotes, use the quote generator.

There is nothing to sign up for and no card to enter. Open the invoice generator, type in your details and download the PDF. Keep a copy of every invoice you send and number them in sequence, so your accountant can work from them later.

FAQ

Is wabill a replacement for Sage?

No. Sage offers full accounting and payroll. wabill is a set of free generators that produce a PDF invoice, quote or payslip in your browser. It keeps no ledgers, does no bank reconciliation, and does not calculate payroll. If you need those, Sage or a similar package is more appropriate.

How does Sage pricing compare to wabill?

Sage products are paid, usually as a monthly subscription that depends on the product and plan, so check Sage's pricing page for current figures. The wabill generators are free with no account. They only make the document, so you handle the record keeping yourself.

Can my accountant still work with wabill invoices?

Yes. The generator produces an ordinary PDF invoice with your business details, the client, an invoice number, dates, line items, optional VAT and totals. Your accountant can capture it in whatever system they use, including Sage. Keep every PDF, because the generator does not store them.

Does the wabill payslip generator calculate PAYE and UIF like Sage Payroll?

No. You type the earnings and deduction amounts yourself and the generator lays them out as a payslip and adds them up to net pay. It does not calculate PAYE or UIF and does not submit anything to SARS. For that you need payroll software or an accountant.
