Xero does a lot, and it is priced and built for businesses that need proper accounting. If all you need is a professional PDF invoice to send to a client, a free generator may be enough.

wabill vs Xero: An honest comparison

These are not the same kind of product. Xero is accounting software. wabill is a free form that turns your details into a PDF. The first line of each pair is Xero, the second is wabill.

When a free generator makes sense over Xero

A free generator is not a replacement for Xero. It suits a narrow set of situations:

• Sole traders who send a handful of invoices a month and track them in a notebook or spreadsheet
• Tradespeople (plumbers, electricians, builders) who need a neat invoice for a job that is already done
• Freelancers who want a clean PDF without setting up accounting software first
• Small businesses whose accountant does the bookkeeping from the PDFs and bank statements they send through
• Anyone who needs a single invoice today and has no software set up yet

When Xero is the better choice

We believe in being honest. Xero is better if you need:

• Full double-entry accounting and financial reports
• Automatic bank feeds and reconciliation
• Saved clients, invoice history and a view of who still owes you
• Payment reminders and recurring invoices
• Multi-user access for staff, a bookkeeper or an accountant
• Inventory and purchase orders
• An audit trail for formal accounting standards

If you use these features, stay with Xero. A PDF generator does none of them. As a rough test: once you regularly lose track of which invoices have been paid, or VAT returns take you a weekend, you have outgrown a generator and need accounting software.

The cost difference

Xero is a paid monthly subscription with different plans, and some plans limit how many invoices you can send. Prices change, so check Xero's pricing page for current figures. The wabill generators are free. That is not a like-for-like saving: with Xero you are paying for accounting, storage and automation, and with a generator you do the record keeping yourself.

• Open the free invoice generator in your browser. There is nothing to install and no account to create
• Enter your business details, your banking details, the client and your line items. You can upload a logo
• Turn VAT on if you are registered. The rate is editable and defaults to 15%
• Check the live preview, then click Download PDF and choose Save as PDF in the print dialog
• Send the PDF to your client yourself, on WhatsApp or email, or print it

Nothing is uploaded or saved. Your details stay in your browser, and refreshing the page clears the form, so download the PDF before you close the tab. There are matching generators for quotes, tax invoices and statements of account.

What your invoice must contain

Whichever tool you use, the invoice itself needs the same information. Check each one before you send it:

• Your business name, address and contact details
• Your client's name and address
• A unique invoice number, in sequence with your other invoices
• The invoice date and the due date
• A clear description of each item or service, with quantity and price
• The total, with VAT shown separately if you are a VAT vendor, plus your VAT number
• Your banking details and the reference the client should use when paying
