Send Professional Quotes via WhatsApp
Tradespeople and small business owners in South Africa send prices on WhatsApp every day. “R4,500 for the job, materials included.” But an informal message is not a quote. It has no scope, no terms, no validity period. Here is how to turn that message into a professional PDF quote and send it in the same chat.
The short version
Fill in the free quote generator, click Download PDF and choose Save as PDF. Then open your client's WhatsApp chat, tap attach, choose Document and send the file. No signup, no watermark, and nothing you type leaves your browser.
Why professional quotes beat informal WhatsApp prices
Sending “R8,000 for the DB board” on WhatsApp can seem faster, but it creates problems:
- No scope. The client thinks R8,000 includes everything. You thought it excluded the distribution board itself.
- No validity. You quoted R8,000 in January. The client comes back in April and expects the same price, but copper prices have increased.
- No terms. No deposit requirement, no payment deadline, no cancellation clause.
- No record. If there's a dispute, a one-line WhatsApp message is hard to reference in a formal complaint or legal proceeding.
- Looks unprofessional. Your competitor sends a proper PDF quote. You send a text message. Who does the client trust more?
A professional PDF quote protects both you and your client. It sets clear expectations. And once you have done one, filling in the generator takes only a few minutes longer than typing the message.
What a quote must include
The Consumer Protection Act 68 of 2008 gives consumers the right to information in plain and understandable language, and to know the price before they commit. A professional quote should include:
- Your business name and contact details
- Client name and details
- Quote number and date
- Validity period (e.g., 'Valid for 30 days')
- Detailed description of the work or goods
- Itemised pricing, with each item showing quantity and amount
- What is excluded (prevents scope disputes)
- Subtotal, VAT (if registered), and total
- Payment terms: deposit, milestones, or payment on completion
- Your bank details, if you want a deposit paid on acceptance
The quote generator has fields for your business, the client, the quote number, date, valid-until date, line items and VAT. Exclusions, payment terms and bank details go in the notes and terms box at the bottom.

Fill in the job
Open the free quote generator in your browser. Add your business details and optional logo, the client's name, a quote number, and one line per item with quantity and price.
Set validity, VAT and terms
Pick a valid-until date. Switch on VAT only if you are registered. Use the notes box for exclusions, your deposit requirement and payment terms.
Download the PDF
Check the live preview, click Download PDF and choose Save as PDF in the print dialog. Name the file with the quote number so the client can find it later.

Quotes and the law in South Africa
A few legal points that every South African business owner should know about quotes. This is general guidance, not legal advice:
- Offer and acceptance: under SA contract law, a quote is an offer. When the client accepts it (verbally, in writing, or by paying a deposit), it generally becomes a binding contract.
- Consumer Protection Act 68 of 2008: consumers have the right to receive information in plain language. Your quote should clearly state what is included, what is excluded, and the total cost.
- VAT Act 89 of 1991: if you are VAT registered, your quote should reflect the VAT breakdown so the client knows the full cost before accepting.
- Validity period: always state how long the quote is valid. Without a validity period, a client could try to accept a quote months later when your costs have changed.
- Written record: a PDF quote sent on WhatsApp, together with the client's reply accepting it, serves as a written record. This is valuable evidence in any dispute.
Tips for winning work with professional quotes
- Respond quickly. The first quote often wins, especially for urgent work. The generator works on your phone, so you can quote from site.
- Be specific. 'DB board replacement, 20-way, with earth leakage' beats 'Electrical work'. Specific quotes build trust.
- Show your expertise. Include relevant details like materials and brands. It shows you know the job.
- State exclusions clearly. 'Excludes painting and plastering after installation'. This prevents disputes.
- Include a deposit clause. A 50% deposit on acceptance is common in SA. It protects you and shows the client you're serious.
- Follow up. If you haven't heard back in 3 days, send a polite follow-up on WhatsApp. Many clients are comparing quotes and a reminder helps.
Converting quotes to invoices
When the client says yes, the quote becomes the basis for the invoice. There is no automatic conversion, so you do it by hand:
- Ask the client to accept in writing. A WhatsApp reply such as 'Accepted, please go ahead' is enough for most small jobs
- If you take a deposit, invoice it straight away and send a receipt when it is paid
- When the work is done, open the free invoice generator and enter the same line items and amounts as the quote
- Put the quote number in the invoice notes, and show any deposit already paid so the balance due is clear
- Send the invoice PDF in the same chat, with your bank details and a due date
Keep the quote, the client's acceptance, the invoice and the proof of payment together in one folder per job. That gives you a complete paper trail from quotation to payment. Start the invoice with the free invoice generator, and make the deposit receipt with the receipt generator.
What it costs
Nothing. The quote generator is free, with no signup, no card and no watermark. Make as many quotes as you need, in ZAR, USD, NGN, KES, GHS, BWP, GBP or EUR.
FAQ
How do I turn an accepted quote into an invoice?
Once your client accepts, create an invoice with the same line items and amounts. Open the free invoice generator, copy the breakdown across, give it an invoice number, and mention the quote number in the notes so the two documents are linked. The generators do not save your documents, so keep the quote PDF open or on file while you type up the invoice.
Does the quote include VAT?
Only if you switch it on. The quote generator has an optional VAT setting with an editable rate (15% by default) and a field for your VAT number, and it shows the subtotal, VAT and total. If you are not VAT registered, leave VAT off and the quote shows the total amount only. Never add VAT to a quote if you are not registered.
How long should a quote be valid?
30 days is a common choice for many industries in South Africa. Construction and building work often use shorter periods, such as 14 days, because material costs move. Whatever you choose, state it on the quote. The quote generator has a valid-until date field for this, and the default note says the quote is valid for 30 days, which you can edit.
Can I send quotes to multiple clients?
Yes. Create a separate quote PDF for each client, each with its own quote number, client details and breakdown, and send each one in that client's own chat. There is no limit on how many quotes you can make. Keep your own list of quote numbers and which ones were accepted, because the generator does not store them.
Is a WhatsApp quote legally valid?
Under South African contract law, a quote is an offer and it generally becomes a binding agreement when the client accepts it, regardless of how it was delivered. A PDF quote sent on WhatsApp carries the same weight as one sent by email or post. What matters is the content and the acceptance, not the delivery method.
