Monthly invoicing for regular clients
For regular cleaning clients, invoice at month-end for all visits that month. Include the number of visits, what was done each time, and any extras. This is easier to manage than invoicing per visit.
The free invoice generator handles a monthly invoice well. Fill it in like this:
- Your details: business name, contact number, address and banking details. Add your VAT number only if you are VAT registered.
- Client: the client name, with the address of the property or office you clean in the client address field.
- Regular cleaning: one line for the month, with the number of weeks or visits as the quantity and your rate as the price (4 weeks at R600). Put the month in the description.
- Once-off extras: a separate line for each, such as a carpet deep clean or a move-out clean.
- Per-unit work: use the quantity field, for example 8 windows at R60 each.
- Cleaning materials: if you supply them, show them on their own line so the client can see they are not part of your labour.
- Due date and notes: set a due date, for example 7 days after month-end, and repeat your payment terms in the notes.
When the preview looks right, click Download PDF and choose Save as PDF in the print dialog. Nothing is stored on wabill and refreshing the page clears the form, so save the PDF to your phone or computer before you close the tab, and keep a copy for your records. To send it, open the chat with your client in WhatsApp, tap attach and choose Document (not Gallery), so the PDF arrives uncompressed and easy to print. Use the same layout every month so the client can compare invoices at a glance.

FAQ
How much should I charge for cleaning in South Africa?
Residential deep cleaning: R800–2,500 depending on house size. Regular weekly cleaning: R300–600 per visit. Office cleaning: R15–30 per m². Post-construction cleaning: R25–45 per m². Always factor in transport, materials, and your time.
Should cleaning businesses invoice or quote?
For once-off jobs (deep cleaning, post-construction), send a quote first and invoice after. For regular clients (weekly/monthly), invoice at the end of each month for all visits. wabill has a free quote generator and a free invoice generator, so you can make both as PDFs.
Do I need to register my cleaning business?
You don't need a licence to clean, but you should: register as a sole proprietor or company (CIPC), register for income tax (SARS), and register for VAT if your turnover exceeds R1 million/year. Having a registered business name on your invoices builds trust.
