Why gardeners should invoice

Invoicing is not just for big businesses. A proper invoice gives you proof of income for bank applications, builds trust with clients, and keeps your records clean for SARS.

  • Your name or business name and contact number
  • Client name and property address
  • Date and invoice number
  • Services performed (mowing, edging, weeding, pruning, etc.)
  • Materials supplied (plants, compost, mulch, fertiliser)

Employee vs independent contractor

This distinction matters for tax and UIF. If a gardener works set hours at your direction and you provide tools, they are likely an employee. You must register for UIF and provide payslips. If the gardener sets their own schedule, uses their own tools, and invoices you, they are an independent contractor. SARS looks at the substance of the relationship, not what you call it.

  • Employee: fixed hours, you provide tools, UIF and payslip required
  • Contractor: sets own schedule, own tools, invoices you for services
  • If unsure, SARS applies the 'dominant impression' test

Make the invoice and send it on WhatsApp

After each visit or at month-end, open the free invoice generator on your phone and fill it in like this for garden work:

  • Your details: your name or business name, contact number and banking details. Add a logo if you have one.
  • Client: the client name, with the property address in the client address field.
  • Invoice number, date and due date: type your own number and keep the sequence going (GRD-2026-008, then 009).
  • Regular maintenance: one line for the month, with the number of visits as the quantity and your rate per visit as the price (4 visits at R300).
  • Once-off work: a separate line for each job, such as tree trimming, a garden cleanup or laying instant lawn.
  • Materials: one line per item with the number of bags as the quantity (4 bags of compost at R60), so the client can see what was bought for the garden.
  • VAT: most garden services are not VAT registered. If that is you, leave VAT switched off and the invoice shows a single total.
  • Notes: payment terms, for example payment due within 7 days, and the date of your next visit.

When the preview looks right, click Download PDF and choose Save as PDF in the print dialog. Nothing is stored on wabill and refreshing the page clears the form, so save the PDF to your phone or computer before you close the tab, and keep a copy for your records. To send it, open the chat with your client in WhatsApp, tap attach and choose Document (not Gallery), so the PDF arrives uncompressed and easy to print. Clients who own rental properties often need the PDF for their own records, so send it every month even if they pay on time.

FAQ

How much should a gardener charge in South Africa?

Garden maintenance typically costs R150–350 per visit for a standard suburban garden (mowing, edging, weeding). Landscaping projects charge R250–500/day for labour. The national minimum wage (R27.58/hr from March 2025) sets the floor.

Should a gardener invoice or just get paid cash?

Always invoice. It protects both you and the client. Invoices provide proof of income (useful for bank loans), help with tax records, and look professional. Clients with rental properties need invoices for expense claims.

Does a gardener need to register for UIF?

If you employ a gardener (even part-time, 24+ hours per month), you must register for UIF under the Unemployment Insurance Act 63 of 2001. However, if the gardener is an independent contractor invoicing you, they handle their own tax.
