VAT on plumbing invoices
If your annual turnover exceeds R1 million, you must register for VAT and issue tax invoices under Section 20 of the VAT Act 89 of 1991. Your invoice must show amounts excluding VAT, the VAT at 15%, and the total including VAT. Even if you are not VAT registered, keeping professional invoices helps with tax returns and SARS record-keeping requirements.
The easy way: make the PDF and send it on WhatsApp
You do not need a Word or Excel template. Open the free invoice generator on your phone or laptop and fill it in like this for a plumbing job:
- Your details: business name, contact number, address and banking details. Add your VAT number only if you are VAT registered.
- Client: the client name and the address of the property where the work was done.
- Invoice number, date and due date: type your own number and keep the sequence going (INV-2026-042, then 043).
- Call-out fee: one line, quantity 1, at your call-out rate.
- Labour: put the hours in the quantity field and your hourly rate as the price, so the client sees 2 x R400.
- Parts and materials: one line per item (mixer tap, 15mm copper pipe, seals) with quantity and unit price. Do not lump them into a single materials figure.
- VAT: switch it on only if you are registered. The generator adds 15% and shows the subtotal, VAT and total.
- Notes: payment terms, your workmanship guarantee, or a deposit already received for a bigger job such as a geyser replacement.
When the preview looks right, click Download PDF and choose Save as PDF in the print dialog. Nothing is stored on wabill and refreshing the page clears the form, so save the PDF to your phone or computer before you close the tab, and keep a copy for your records. To send it, open the chat with your client in WhatsApp, tap attach and choose Document (not Gallery), so the PDF arrives uncompressed and easy to print. For an emergency call-out, send it while you are still on site so the client can pay by EFT straight away.
