Per room vs per square metre pricing
Both approaches work. Per square metre is more accurate and fairer for larger rooms. Per room is simpler for standard residential work. Here is a quick guide:
These are labour-only estimates. Paint and materials are additional. The range depends on wall condition, number of coats, and height.
Invoice from the job site
When the job is done, open the free invoice generator on your phone and fill it in like this for painting work:
- Your details: business name, contact number, address and banking details. Add your VAT number only if you are VAT registered.
- Client and site: the client name, with the property address in the client address field.
- Paint: one line per product with the brand, colour and tin size in the description, the number of tins as the quantity and the price per tin (2 x Plascon Velvaglo 10L at R790).
- Other materials: undercoat, filler, sandpaper, tape and drop cloths. Small items can share one sundries line.
- Preparation: a separate labour line for filling, sanding and priming, with days as the quantity and your day rate as the price.
- Painting labour: if you charge per day, enter the days and the day rate. If you charge per square metre, enter the square metres as the quantity and your rate as the price. If you charge per room, use one line per room.
- Deposits: if the client paid up front for paint, say so in the notes and invoice the balance, or issue the deposit as its own invoice first.
- VAT: switch it on only if you are registered. If you are not, leave it off and the invoice shows a single total.
When the preview looks right, click Download PDF and choose Save as PDF in the print dialog. Nothing is stored on wabill and refreshing the page clears the form, so save the PDF to your phone or computer before you close the tab, and keep a copy for your records. To send it, open the chat with your client in WhatsApp, tap attach and choose Document (not Gallery), so the PDF arrives uncompressed and easy to print. Sending it on the day you finish, while the client is happy with the result, is the best way to get paid quickly.

FAQ
How do painters charge, per square metre or per room?
Both are common in South Africa. Per square metre (R35-80/m2) gives accurate pricing for large areas. Per room (R1,500-4,000) is simpler for residential work. Choose whichever your client understands better and itemise it on the invoice.
Should I charge for paint separately?
Yes. Always separate materials (paint, primer, filler, tape) from labour on your invoice. This shows transparency and protects you if the client disputes pricing. Some painters mark up paint 10-20%; others charge at cost plus labour.
How do I invoice for a multi-day painting job?
Invoice after completing the job or at agreed milestones. For residential, invoice once on completion. For commercial projects, you might invoice per phase (preparation, first coat, final coat). A free invoice generator on your phone lets you make the PDF on site as soon as the job is done.
