Tips for photography invoicing
- Always collect a non-refundable deposit (50% is standard) to secure the date
- Invoice the balance before or on delivery of images, not after
- Clearly state how many edited images are included in the package
- For commercial work, specify the usage licence on the invoice or terms
- Include travel costs separately if the venue is outside your area
Make the invoice and send it on WhatsApp
After the shoot, open the free invoice generator and fill it in like this for photography work:
- Your details: your name or photography brand, contact details and banking details. Upload your logo so the invoice matches your brand.
- Client and event: the client name, with the shoot date and venue in the first line item description.
- Package: one line for the main package, with the hours of coverage and the number of edited images included in the description.
- Add-ons: a line each for a second shooter, a photo album, prints or travel outside your area.
- Extra edits: use the quantity field, for example 50 extra edits at R50 each.
- Deposit: issue the deposit as its own invoice with one line, such as 50% deposit for wedding photography on 15 March. After the shoot, issue a second invoice for the balance and state the package total and the deposit received in the notes.
- Usage rights: for commercial work, state the licence (web only, print, exclusive, time-limited) in the notes.
- VAT: switch it on only if you are registered. If you are not, leave it off and the invoice shows a single total.
When the preview looks right, click Download PDF and choose Save as PDF in the print dialog. Nothing is stored on wabill and refreshing the page clears the form, so save the PDF to your phone or computer before you close the tab, and keep a copy for your records. To send it, open the chat with your client in WhatsApp, tap attach and choose Document (not Gallery), so the PDF arrives uncompressed and easy to print. Send the balance invoice before or together with the final gallery link, not weeks afterwards.

FAQ
How should photographers charge, hourly or per event?
Both work. Event photography (weddings, corporate) is typically quoted as a package. Portrait sessions charge per session or per hour. Commercial/product photography charges per image or per half-day. Always include editing time in your rate.
Should I invoice before or after the shoot?
Best practice: send a quote before the shoot, collect a 50% deposit, then invoice the balance after delivering the final images. For recurring commercial clients, invoice monthly. Show the deposit received on the final invoice so the balance is clear.
How do I handle usage rights on an invoice?
State the usage rights clearly on the invoice or accompanying terms. For commercial photography, the licence (web only, print, exclusive, time-limited) directly affects pricing. Personal/event photography typically includes full personal usage rights.
