How it works
- Open the free invoice generator in your browser
- Enter your business name, contact details and banking details, and upload a logo if you have one
- Add the client, an invoice number, the date and the due date
- Add a line for each item or service, for example 'Plumbing repair, 1 at R2,500'
- Turn on VAT if you are registered, and check the preview
- Click Download PDF and choose Save as PDF in the print dialog
Your details stay in your browser. Nothing is uploaded or stored, and refreshing the page clears the form, so save the PDF before you move on.
How to send the invoice on WhatsApp
Sending is a manual step, and a few habits make it look professional:
- Open the client's chat, tap the attach icon and choose Document. Do not send a screenshot or a photo, because WhatsApp compresses images and the text goes soft
- Pick the saved PDF. Rename it first so the file name shows the invoice number
- Add a caption with the essentials: 'Invoice INV-014 for R2,500, due 30 November. Banking details are on the invoice.'
- If the client is a company, ask whether accounts needs it by email as well
- Follow up politely in the same chat a day or two before the due date

How is wabill different from WhatsApp invoicing bots?

Can I invoice in different currencies?
Yes. The generator has a currency picker with ZAR, USD, NGN, KES, GHS, BWP, GBP and EUR. It does not convert amounts, so enter your prices in the currency you are billing.
Does wabill handle VAT?
Yes. Switch VAT on in the generator and it adds VAT to the invoice at a rate you can edit, which defaults to 15%. You can add your VAT number, and there is a tax invoice version of the generator with VAT on by default. Section 20 of the VAT Act 89 of 1991 sets out what a tax invoice must contain, and you are responsible for checking that your details are complete.
Can I track which invoices have been paid?
Not in wabill. It does not save invoices or record payments. Keep a simple spreadsheet with each invoice number, client, amount and the date it was paid. When a client pays, you can make a receipt with the free receipt generator, and a statement of account for clients with several invoices.
